Oversees and directs property management activities related to organization’s commercial and residential property portfolio.

Supervises and directs activities of property management staff. The position is responsible for the overall successful operations of properties and works to ensure the department operations meet or surpass industry standards. The Head of Property Management (HPM) is a member of the Senior Management Team working to strategize short‐range and long‐range organizational goals. As the property management team is small the position also requires that the HPM is willing and able to get involved in day-to-day smaller issues where required. The HPM will go above and beyond to ensure that the property management division and its buildings are run in an exceptional manner.

Duties & Responsibilities:

  • Day-to-day operational management of all aspects of the properties to assure maintenance of approved quality standards. The HPM shall also prepare, coordinate and ensure that all fire, health and safety programs are established. The HPM is charged with the management of the office staff including, but not limited to, establishing goals and objectives for on-site employees, evaluation of employees, hiring employees, terminating employment contracts and making salary recommendations based on overall performance.
  • Supervision of all maintenance programs relating to the interior and exterior conditions and appearance of the properties. The HPM ensures that the property is maintained in an appropriate and cost effective manner. The HPM effectively negotiates all vendor service and capital improvement contracts. The HPM ensures that all council matters are up to date and correct.
  • Responsible, at all times, for a positive and prompt response to requests from building tenants and for the implementation of on-going contract programs to constantly assess tenant needs and to assure problems are being solved promptly and to the mutual benefit of the tenant and the properties.
  • Develop and administer the Property Operating Budget, subject to the approval of the Landlords, for all properties as well as the property management company.

Responsible for the collection; analysis and reporting of such statistical data as may be required to provide accurate and current assessment of property management objectives.

  • Day-to-day financial management of the properties and maintenance of all necessary financial records and files.

Skills/Knowledge Required:

  • Degree (Commercial, Financial or Property related)
  • Strong knowledge of property management and tenant/landlord practices, laws, rules and regulations. Good command of commercial management and leasing practices
  • Possess good verbal, written and interpersonal communication skills, as well as good computer skills. Experience with MDA property management software
  • Ability to analyse, evaluate and act on issues and/or problems, reach sound conclusions and take appropriate action.
  • Be able to lead a team/ company.
